Adding teammates to MorningAI is the easy part. Managing them over time — onboarding, role changes, contractor turnover, security — is where most tools fall down. The new team management experience handles all of it: invite by email, change roles, archive or restore users, and remove access cleanly. Even archived users see the right experience when they try to log back in.
Inviting Team Members
- Open Settings → Team in the active brand.
- Click + Invite Member.
- Enter their email address.
- Pick a role: Admin, Editor, or Viewer.
- Click Send Invite. They receive an email with a link to accept.
When they accept, they appear in your team list with their assigned role.
Roles at a Glance
- Admin — full access to everything in the brand: settings, billing visibility, team management, all DNA, Studio, Scheduler.
- Editor — full content access (DNA, Studio, Scheduler, Asset Library) but no settings or team management.
- Viewer — read-only across the brand. Useful for stakeholders and approvers.
You can change a member's role at any time from the team list.
Archive a User
Archiving is the cleanest way to remove access without losing the audit trail of what they did:
- Open Settings → Team.
- Find the user and click the ⋯ menu.
- Choose Archive User.
- Confirm.
The archived user immediately loses access to that brand. Their past contributions (Studio outputs, scheduled posts, ProductDNA edits) remain, attributed to them. They are removed from active team counts so you do not pay for inactive seats.
Restore an Archived User
Need them back? Easy:
- Open Settings → Team → Archived Users tab.
- Find the user and click Restore.
- They are re-added to the team with their previous role. They receive a notification email.
Remove a User Entirely
If you need to fully remove a user (for example, an external contractor whose project is over):
- Open Settings → Team.
- Find the user and click the ⋯ menu.
- Choose Remove User.
- Confirm.
Removed users lose all access. Their past work remains attributed to them historically. They are not retained in the Archived list — to restore them, you must re-invite from scratch.
What Archived Users See on Login
This is the part most teams care about: an archived user who tries to log back in does not get a generic error or a confusing dead end. They see a clean message explaining that their access to the brand has been archived, with instructions to contact their workspace admin if they believe it was a mistake. They can still access any other brands they belong to.
This matters for two reasons. First, it eliminates support tickets like "I can't log in, what happened?" Second, it gives the user a graceful experience instead of feeling locked out — which is the right outcome whether they were archived for security, billing, or contract reasons.
Pro Tips
Default to Editor. Reserve Admin for the small group who manages settings and billing. Most marketers and creatives only need Editor.
Archive instead of remove for contractors. Archiving keeps the history readable and lets you restore quickly if the engagement resumes.
Audit quarterly. Open Settings → Team once a quarter. Anyone who has not logged in for 60 days is a candidate for archive.
Use Viewer for stakeholders. Internal partners who only need to review, not edit, should be Viewers — both for security and to keep your seat count efficient.
Frequently Asked Questions
Does archiving free up a seat in my plan? Yes. Archived users do not count against active seat limits.
Can a user belong to multiple brands? Yes. They will see the Brand Switcher with every brand they have been invited to.
Can I bulk invite? Yes. Settings → Team → Invite Member supports comma-separated email lists.
What happens to scheduled posts an archived user owned? They remain scheduled and will publish on time. Ownership is reassigned to the brand admin.
Can I see who logged in when? Admins can see last-login timestamps in the team list.
